When a team spends six figures on RPA and still falls back to manual work, the failure is usually not one bad bot. It is a mismatch between the operating environment and the maintenance model.
The invoice was for automation, but the work never left
Teams buy RPA expecting the manual queue to shrink. Instead, operators often become the exception handlers: watching dashboards, rerunning failed bots, checking outputs, and manually completing cases the scripts cannot finish.
The visible cost is the license and implementation. The hidden cost is the human safety net that keeps the process moving after the bot fails.
Maintenance becomes its own process
Every portal update creates a small incident. The business reports the issue, IT investigates, a developer patches the selector, and the operations team absorbs the delay.
That loop can be tolerable for one or two workflows. It becomes expensive when dozens of portals and clients each have their own edge cases.
The replacement should change the loop
A better automation model should not simply replace one script with another. It should shorten the path between the operator who sees the exception and the system that needs to adapt.
That means browser-native execution, replayable runs, human handoff when needed, and authoring tools that let business users correct behavior without opening a development ticket.
If the business case was right but the bots still break, the next step is not more scripts. It is a model that can adapt where the work actually happens.
